Privacy Policy

ColdCaller.ai is operated by InnovativeLabs ("we" and "us"). This policy explains how we handle personal information on the website at coldcaller.ai and in the app at app.coldcaller.ai. ColdCaller.ai is an AI voice calling and outreach tool for businesses.

The website

The marketing site does not use an analytics tool, and it does not set advertising or analytics cookies. Pages load typefaces from Google Fonts. That request includes the usual connection details, such as an IP address, which Google receives under its own terms.

Application form

If you apply from the website, the form collects your name, work email, company, role, team size, about how many leads you want to reach each month, the channels you use now (calls, texts, email, or LinkedIn), and a phone number if you choose to add one. That information is emailed to hello@coldcaller.ai so we can read the application and reply. We use it to respond about your application.

The form includes a hidden field that people do not see. It is there to catch automated submissions. If that field is filled in, the application is ignored and is not emailed. We also keep a short-lived record of the network address a submission came from, so the same address cannot send the form again and again. That record is not used for advertising.

Account data

If you create an account in the app, we store the email address and password you set, along with the organization and settings you save there. The password is kept by the login system. While you are signed in, the app stores the session in your browser's local storage. The app also stores a cookie that remembers whether the side menu is open. That cookie is not used to follow you on other websites.

Call and contact data

Customers upload the people they want to reach. That can include names, phone numbers, email addresses, company details, notes, and the calls, texts, emails, and LinkedIn messages that follow. Where the product keeps them, that also includes call recordings, transcripts, and meeting times. We use this information to run the service the customer asked for: choosing who to contact, placing calls, sending messages, booking meetings, and showing the customer what happened.

For information a customer uploads about someone else, the customer decides why that person is contacted. We process it to provide the product.

If a customer connects another tool, we use it only for that connection:

• Google Calendar, to read availability and to create or update the events the customer asks for.
• An email mailbox the customer connects, so messages can be sent from that mailbox.
• Facebook or Instagram lead forms, so lead details from those forms can be received into the account.

Someone who was contacted can ask us to stop. They can use the unsubscribe link in an email, say so on a call, or email hello@coldcaller.ai. When we delete someone's details, we remove their answers and call records and keep the phone number and email on a do-not-contact list so they are not contacted again.

Service providers

Other companies process personal information only so they can do the job we hired them for. From the product as it is built, those include the company that hosts this website and delivers the application email, Supabase (which stores app data and runs login), Telnyx (which carries calls and texts), Google (for the fonts on this website, and for Google Calendar when a customer connects it), and Meta when a customer connects Facebook or Instagram lead forms. A mailbox the customer connects also processes the messages sent through it.

We do not sell personal information.

Security

The website and the app are served over HTTPS. The app requires a login. Access to customer information is limited to what is needed to run the service. No method of storage or transmission is perfect, and we do not claim a security certification on this page.

How long we keep it

We keep account, contact, and call information for as long as the account needs the service, and for as long as we need it to answer a dispute or meet a legal duty. Application emails are kept so we can reply and keep a record of the request. A do-not-contact entry is kept so that person is not contacted again. We do not set a single number of days for every kind of record.

Your rights

Depending on where you live, including under the GDPR and the California Consumer Privacy Act (CCPA), you can ask us to tell you what we hold about you, correct it, delete it, give you a copy, or limit or stop certain uses. You can also ask to opt out of the sale or sharing of personal information. We do not sell personal information, and the website does not share it for cross-context advertising.

Email hello@coldcaller.ai with your request. We may need to confirm that you are the person the information is about. If the information was uploaded by a customer, we may need that customer to confirm the request before we change their account. You can also send a request through someone you have authorized to act for you. We will not treat you differently for asking.

Children

The website and the app are meant for businesses, not for children. We do not knowingly collect personal information from anyone under 16. If you believe we have, email hello@coldcaller.ai and we will delete it.

Changes

We may update this policy. When we do, we will change the effective date at the top of this page. The version posted here is the one that applies.
